Administrative Assistant - Culver City, CA

Summary 

Provides general office support with a variety of clerical activities and related tasks. The Corporate Administrative Assistant will be responsible for setting and maintaining the calendar of appointments, booking and tracking all company travel, receive incoming calls and emails, directing calls to appropriate associates, mail distribution, flow of correspondence, requisition of supplies as well as additional clerical duties.


Essential Functions

  1. Answers telephones and directs the caller to the appropriate associate. Will transfer a caller to an associate’s voice mailbox when the associate is unavailable. 

  2. Sets and manages all appointments in company calendar for multiple executives. Rearranges appointments quickly. Sets reminders and monitors the calendar to proactively manage the schedule.

  3. Receives and books company travel requests using good judgment and following the company travel policy.

  4. Greets and directs visitors to the company. 

  5. Takes and retrieves messages for various personnel. 

  6. Provides callers with information such as company address, directions to the company location, company fax numbers, company website and other related information.

  7. Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.) 

  8. Assists with other related clerical duties such as photocopying, faxing, filing and collating.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. 


Physical Demands

This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary.  


Position Type and Expected Hours of Work 

This is a full-time position. Days and hours of work are Monday through Friday, 9:00 a.m. to 6 p.m.   


Travel 

No travel is expected for this position.  


Required Education and Experience 

  1. Two years of administrative experience, ideally advanced use of Outlook.

  2. Proven track record in a fast-paced environment.

  3. Associate Degree.


Work Authorization/Security Clearance 

There is no visa or H1-B sponsorship. Candidates must successfully complete a criminal record and drug screening check, and a Live-Scan (as applicable).
